This Privacy Policy is published by Jharkhand Talent Search Association (JTSA) in accordance with the Digital Personal Data Protection (DPDP) Act, 2023. We collect information that you provide directly when you interact with the JTSA website or participate in the Dhanbad District Olympiad:
- Student Registration Data: Name, father's name, father's occupation, school name, class/grade, section/roll, WhatsApp number, alternate contact, date, photograph.
- School Data: School name, address, block, incharge name, phone, email, school code.
- Contact Form Data: Name, email, subject, message when you submit the contact form.
- Exam Results Data: Marks, ranks, qualification status for each phase.
- Technical Data: IP address, browser type, device information, access logs (standard web analytics).
2. How We Use Your Information
- To register students for the Olympiad and manage the examination process.
- To generate roll numbers, admit cards, and conduct examinations.
- To evaluate answer sheets, compute results, and publish rankings.
- To issue certificates (participation, merit, excellence) and distribute prizes.
- To communicate with schools, students, and parents regarding schedules, results, and announcements.
- To provide schools access to their students' data via the secure School Portal.
- To improve the Website, analyze usage patterns, and enhance user experience.
- To comply with legal obligations and respond to lawful requests.
3. Data Sharing & Disclosure
We do not sell, rent, or trade your personal information. We may share data only in the following circumstances:
- With Schools: Student data is shared with the respective school for verification, admit card distribution, and result access via the School Portal.
- With Service Providers: Third-party vendors who assist with hosting, database management, email/SMS delivery (e.g., Supabase, Vercel, email services). They are contractually bound to protect your data.
- Legal Requirements: When required by law, court order, or government authority.
- Public Results: Result PDFs published on the Website contain roll number, name, school, marks, and rank. This is the nature of a public competitive examination.
4. Data Security
- We implement appropriate technical and organizational measures to protect personal data against unauthorized access, alteration, disclosure, or destruction.
- Data is stored on secure cloud infrastructure (Supabase) with encryption at rest and in transit.
- School Portal access is protected by unique credentials issued by JTSA. Schools are responsible for safeguarding their login credentials.
- Physical registration forms and photographs are handled by authorized JTSA personnel only.
5. Data Retention
- Student registration and result data is retained for the duration of the Olympiad cycle plus 3 years for record-keeping and certificate verification.
- School data is retained as long as the school remains a partner, plus 3 years after termination.
- Contact form submissions are retained for 1 year.
- Analytics data is aggregated and anonymized after 26 months.
- You may request deletion of your data by contacting us (see Section 7), subject to legal retention requirements.
6. Your Rights
Under the Digital Personal Data Protection (DPDP) Act, 2023 and applicable data protection laws, you (or your parent/guardian, if you are a minor) may have the right to:
- Access your personal data and obtain a copy.
- Request correction of inaccurate or incomplete data.
- Request erasure of your data (subject to legal obligations).
- Withdraw consent for processing based on consent.
- Nominate an individual to exercise your rights in case of incapacity or death.
- Grievance redressal — raise a complaint regarding processing of your data.
To exercise these rights, contact us at the emails below. We will respond within 30 days. If you are not satisfied with our response, you may escalate your grievance to the Data Protection Board of India as provided under the DPDP Act, 2023.
7. Children's Privacy
The Olympiad involves students (minors). Student data is collected through schools with parental/guardian consent (via signature on the registration form). JTSA does not knowingly collect data directly from children online. All student data is managed through school coordinators and parents. Parents/guardians may contact us to exercise rights on behalf of their child.
8. Cookies & Tracking
The Website uses minimal cookies:
- Essential Cookies: Required for Website functionality (session management, form tokens). Cannot be disabled.
- Analytics Cookies: Used to understand site usage (page views, navigation). IP addresses are anonymized.
- No advertising or third-party tracking cookies are used.
You can configure your browser to reject cookies, but this may affect Website functionality.
9. Changes to This Policy
We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated "Last updated" date. Material changes will be communicated to schools via email.
